1. Purposes of processing personal information

Personal information is processed for the following purposes:

2. Personal information collected

For general participants, we may collect Korean and English names, organization, position or title, mobile number, email address, country or region, planned attendance dates, intended program attendance, and consent records.

For speaker and VIP invitees, we additionally collect age group, nationality, country or region of departure before entering Korea, scheduled arrival and departure times, arrival airport, estimated arrival in Busan, domestic transportation, and operational requests. Speaker profile photographs, biographies, sessions, and presentation-related information may also be collected where necessary.

When Live Q&A is used, we collect the participant’s name, organization, and question. An approved question may be displayed on the official venue screen together with the participant’s name and organization. Phone numbers and email addresses are not additionally collected for Q&A.

Food allergies or dietary requirements may contain health information and are collected only where separate optional consent to sensitive-information processing has been provided.

3. Retention and use period

Personal information collected for participation and event operation will be destroyed without undue delay after the purpose of processing has been fulfilled following the event.

Sensitive food-allergy or dietary information is destroyed without undue delay after meal preparation and participant-support purposes have been fulfilled.

Where a participant separately opts in to invitations and information for the next Arctic Partnership Week, only their name, organization, and email address may be retained separately for a maximum of one year from the date of consent.

This optional information will be destroyed without undue delay when consent is withdrawn or the retention period expires.

4. Invitations and information for the next event

Receiving invitations and information for the next Arctic Partnership Week is optional.

A participant’s name, organization, and email address will be used only when separate consent has been given. Declining this option does not affect participation in Arctic Partnership Week 2026.

5. Destruction of personal information

Personal information is destroyed without undue delay when its retention period expires or the purpose of processing has been fulfilled.

Electronic files are securely deleted so they cannot be restored or reproduced, and printed records are shredded or destroyed by an equivalent secure method.
